Archived Inbox is not showing up in X1 Searches

Postby saskep » Thu Oct 26, 2006 5:42 am

My Archive Folder Inbox and other archived folders are not showing up in my X1 searches. What's the problem and how do I get them to show up. My archived mailbox is pretty large...so I'm not sure if that's the problem.

Thanks for the help on this,

Is this folder included in your list that X1 should index?

What software holds the archive?

Where are these folders archived?

The more information you provide, the quicker someone will be able to suggest a solution. As it is, we know next to nothing about your predicament.

You asked:

Is this folder included in your list that X1 should index?
--------------------------------------------------------------

- Under Tools -> Options
- Under Indexing - Email - Outlook
- Under [Select Folders To Scan...]
I have the following selected:
[x] Default Outlook Profile
[x] Mailbox - Kenneth Parker (0 items)
[x] Archive Folders (0 items)
[x] Personal Folders (0 items)

The X1 Search finds items in both the Maibox and Personal Folders, but not the Archive Folders.

What software holds the archive?
--------------------------------------
MS Outlook 2003 SP2
Running on Windows XP Professional

Where are these folders archived?
---------------------------------------
Mailbox is using Microsoft Exchange Server
and the AutoArchive for the Inbox moves old items to local C drive:

C:\Documents and Settings\saskep\Local Settings\Application Data\Microsoft\Outlook\archive.ps

Hopefully...that clarifies the perdicament :)

This begins to get us there. I have the same setup.

Trouble is, my experience is that you need your archive.pst "attached" to a Mail Profile.

Your main profile probably has just your main mailbox PST.

I have a separate Archive Profile without any email accounts. The data files attached to this include a whole bunch of PSTs, including one called Archive.PST.

It looks like this:

Does your Archive.PST has an "+" sign that you can expand? If so, this should grow to reveal a raft of folders with message counts.

Like this:

You can add archive.pst manually, but there have been reports that this causes problems. Can't remember their exact nature. I set up my system so long ago that I have not had any need to watch out for these things.

We'll get there in the end.

I have the following:

[-] [X] Default Outlook Profile
[+] [X] Mailbox (0 items)
[-] [X] Archive Folders (0 items)
[x] Deleted Items (0 items)
[x] Inbox (10045 items)
[x] InboxOLDER (7140 items)
[x] Sent Items (11124 items)
[x] Sent Items OLDER (8261 items)
[+] [X] Personal Folders (0 items)

Archive has a [+] and when I expand it it shows all the items selected. But, searching doesn't find items from those folders for some reason?

I don't think I can make any more guesses. I still don't know how, or if, you have properly added your secondary PST files to X1.

Nor can I tell if you have set up your X1 display in some way that excludes showing these files.

X1 appears to be searching my Archives and Personal Folders again.
I have not added any new PST files. I basically just installed the latest 5.5.5 X1 version and rebooted my PC "again".

They are showing up now, but I have not changed my X1 options.
I'm just not confident that this problem want re-occur.

Are you sure that this isn't just because X1 has finally managed to index your large archive folders?

Yes, pretty sure. If it happens again I'll just try and see what the pattern is.

How can I find a calendar folder accidentally created in the Mailbox folder instead of calendar? I created a calendar in the mailbox folder. It appeared in the calendar view and I moved a bunch of items to it. Now, I can't find that calendar or the items I moved there. Please help.

Have you checked to see that X1 is under orders to index this new location?

X1 will automatically include default locations in the index, but you may have to tell it about new places that you added after X1 started work.
